ABSTRACT SUBMISSION

You are invited to submit an abstract for the 52nd Annual Meeting being held at the Marriott Mountain Resort & Spa in Vail, CO, December 13-17, 2010. To submit an abstract, please read all of the instructions below before clicking the link at the bottom of this page.
Application Deadline: August 1, 2010
Policies Governing Accepted Applications:
1. Scientific Program is open to all Orthopaedic Surgeons and Residents/Fellows.
2. Applications must be submitted online by August 1, 2010 to be eligible for review by the Program
Committee.
3. Submission of a corrected abstract is not allowed after August 1, 2010.
4. An orthopaedic surgeon, resident/fellow or a member of SOMOS must be listed as one of the authors.
5. Once an abstract is accepted, additional authors cannot be added and the abstract can not be revised.
6. Acceptance and rejection letters and all future correspondence will be emailed to the Primary Author
listed on the Abstract Submission Form in October 2010.
7. Abstracts not accepted for a podium presentation may be accepted for a poster presentation.
8. The paper is to be original, unpublished work.
9. By November 2010, the Primary Author will be required to submit a manuscript via email, to
clichtefeld@datatrace.com. This is an absolute requirement to allow presentation of any study. Those that
fail to submit by the published deadline will not be allowed to present their study.
10. SOMOS reserves the right to publish the accepted abstracts in a medical journal. This will not preclude
publishing the manuscript in another journal.
11. The Primary Author and all Co-authors will be required to complete a Disclosure Statement at least 45 days
prior to the Annual Meeting.
12. All presenters will be require to complete and submit CME paperwork and adhere to all of the deadlines.
13. SOMOS reserves the right to withdraw a presentation at any time.
14. The Founder’s Award and the Norman T. Kirk Resident Award selection will be done prior to the Annual Meeting. A
manuscript will be requested to be submitted earlier than the required date for all abstracts being considered for
one of these awards. Notification will be sent via email if an abstract is being considered for an award.
Instructions for abstract content and completion of the abstract submission form:
1. TITLE: Make the title brief and clearly indicate the nature of the study/procedure.
2. AUTHOR’S NAME: Include rank and/or credentials.
3. INSTITUTION WHERE THE STUDY/PROCEDURE TOOK PLACE: (Ex. University or Duty Base with City
and State)
4. CO-AUTHOR’S NAME: Include rank and/or credentials.
5. CONTENT OF ABSTRACT: The abstract must include the following four parts:
A. INTRODUCTION, a sentence that clearly indicates the problem and the purpose of the study;
B. METHODS, a brief description of pertinent experimental procedures;
C. RESULTS, a summary of the findings of the new unpublished study;
D. DISCUSSION and CONCLUSION, a statement of conclusions based upon the findings and related to the stated objective of the study and existing knowledge.
Provide specific details about your research. DO NOT list any author's name or institution in the abstract or manuscript. A two-year minimum follow-up per patient is required for all results for reconstructive procedures and new or modified techniques as they relate to diagnosis, surgery, complications or other phases of orthopaedic surgical problems.
6. LENGTH: Each abstract must be less than 650 words. Do not exceed space provided on abstract. Provide as
much information as space permits. Additional pages will not be accepted. Graphs, charts, pictures, tables,
etc., are not permitted.
7. TYPE: The abstract should be typed on the form provided within space allotted (650 words max). Standard 12
pt. Times New Roman is required for all abstract submissions. Abstracts are to be single-spaced. Use English
only.
8. STYLE: Use initial capitalization for the entire title. DO NOT include company/industry names, titles,
appointments or addresses in the abstract. DO NOT use subtitles. Standard abbreviations may be used,
when necessary. Do not cite references. Omit P values. No reference is to be made in your text as to authors,
institutions, clinics, specific manufacturers or pharmaceutical companies. Please check your work prior to
submission. SOMOS is not responsible for proofreading or accuracy.
9. AUTHOR INFORMATION: Indicate your name, mailing address, email address, telephone number, fax,
degree and the institution. Also, include the name, mailing address, telephone number, email address
and degrees of all co-author(s). Please notify SOMOS if any of this information changes.
10. DRUG NAMES: Nonproprietary (generic) names of drugs are required and should be written in lower case.
Proprietary names are capitalized. Do not use company or product names in the title or body of the abstract.
11. SUBMISSIONS: An Electronic Submission form is provided below for all submissions. The abstract
submission deadline for SOMOS’ 2010 Annual Meeting is August 1, 2010.
12. NOTIFICATION OF ACCEPTANCE: The Program Committee will review Abstracts. You will be notified of
acceptance in October 2010. SOMOS reserves the right to withdraw a paper at any time.
13. REGISTRATION FEES: All presenters must register for the meeting.
14. MANUSCRIPT: The paper is to be original, unpublished work. All authors must indicate the publication status of
their paper. Papers that have been previously published are ineligible. A paper that has been submitted for pub-
lication, but will remain unpublished prior to the date of the Annual Meeting is eligible. The Program Committee
has the right to withdraw the paper.
Podium Presentation
Each Podium presentation will be approximately 5-7 minutes in length. Standard audiovisual equipment in the scientific session room includes an LCD projector and Windows Computer. Personal laptops cannot be used for presentations.
Poster Presentation
Poster presentations will be shown for the entire meeting (4 days). There will be designated time for poster presenters to report findings. Please have 8.5”x11” (letter) sized copies of your posters available to hand out. The presenters are requested to be at their Posters during the Poster Sessions to discuss their findings. Poster instructions will be posted to the SOMOS website.
Abstract Grading Process
- Abstracts will be read in a “blind” fashion. Your text should not reveal the authors or institutions of origin.
- Graders are military orthopaedic surgeons and are members of the Program Committee or Panel Reviewed. Approximately 50 Podium Presentations and 50 Poster Presentations are accepted. The Program Chair/Committee uses some discretion in final paper selection in an attempt to balance the program. Abstracts are graded on a 0 to 10 rating, and a paper accepted generally will have an average score of 7.0.
- Grade is influenced by: significance of the study, content and clarity, specific number of cases or specimen studies, clinical or research data to support its conclusions, minimum follow-up of 2 years per patient for results describing reconstructive procedures, and new or modified techniques as they relate to diagnosis, surgery, complications or other phases of orthopaedic surgical problems.
Manuscripts
Please include a title page with your manuscript that includes a statement that this paper was presented at SOMOS 2010 Annual Meeting and all authors’ names, ranks and contact information. Further guidance for manuscript submission will be disseminated at the meeting.
Submission Agreement
All authors must agree to the following statements on the submission form for this abstract to be considered. You must click the box next to each statement in order submit an abstract.
We, the listed authors on this abstract, submit this abstract for presentation consideration to SOMOS. We affirm that the information contained in this abstract fairly and accurately represents original work.
We agree that, if accepted for inclusion in a SOMOS meeting, the manuscript, published abstract and presentation will represent the same data as originally submitted herein.
We assume full responsibility for securing the necessary clearance and permission for publication and presentation from any contracting supervisory research agency holding presentation material copyrights. SOMOS requires that Podium Presenters, Co-Authors and all Poster Presenters provide a DISCLOSURE FORM, BIOGRAPHIC DATA FORM and a PRESENTATION WORKSHEET.
We agree that any and all financial interest in the product or process involved with our research will be properly identified. This includes stock ownership, membership on an advisory board or board of directors, corporate sponsored research, or any other substantive relationship. Please note that financial disclosure does not disqualify an abstract from consideration or presentation.
We agree that disclosure will be made if a presentation includes substances or products not approved in the U.S. for the use under discussion.
We understand and grant release to the SOMOS to make audio and/or video recordings of our presentation. We authorize the recording of our presentation for any related purposes.
Power Point Slide Presentation Guidelines:
For those planning on having a slide/PowerPoint presentation at the conference, please use the following guidelines to assist our AV team in offering the smoothest and quickest audiovisual service for the conference.
- Presentations must be PC compatible (Windows XP) and Microsoft Office 2003 compatible. Sorry, we do not have support for Macs.
- Please name your slide with your Last Name followed by the title of your presentation.
- All presentations must be written to a CD and turned in at the sound booth at the starting date of the conference. If you are presenting on the starting date of the conference, please leave your CD in the Speaker Ready Room no later than 8 pm, the night before the start of the conference.
Awards
The SOMOS Board of Directors would also encourage you to submit a nomination for the COL Brian Allgood Military Leadership Award. For further nominating information, please see the SOMOS website. This prestigious military leadership award will be awarded at the Opening Ceremony and will be a highlight of the meeting.
